Move Out Procedures and Info

Students may move out of their assigned housing at any time during the academic term with the proper approval either from the university or from Residential Living & Learning.  We ask that you notify our office as soon as possible by emailing [email protected] if you are planning to:

  • Complete a withdrawal or medical withdrawal for the current term
  • Request an Approved Leave or Exit the university for a future term
  • Plan to move off campus while remaining enrolled in classes.
    NOTE: You must be approved for a Request for Residency Exemption found on your Housing Central Home Page.
  • Plan to move to a different room/suite/apartment on campus. 
    NOTE: You must receive official approval from Residential Living & Learning to complete a room change or room swap.

Our office will help you work through the steps in these different processes to ensure that you have the proper paperwork on file, approval to move off campus, or approval to change/swap your room assignment. 

 

If a student is moving out of their room during the semester, they should make sure that Residential Living & Learning staff are aware of the move that is occurring. Refunds and fees for cancellations and withdrawals are outlined in the housing agreement

  • Connect with your Resident Assistant to schedule a time to complete a walkthrough of your space prior to moving out.  This will ensure damages are recorded and reported correctly, so you can avoid charges after moving out.
  • Make sure to remove all personal items from your room and common spaces. Any items left behind will be considered abandoned property and will be disposed of appropriately at the student’s expense.
  • Clean, Unplug and Defrost your Refrigerator in advance. Leave the refrigerator door open to allow the air to circulate and be sure to lay down a towel to soak up the water as the ice melts. (Defrosting can take several days, so plan accordingly!)
  • Remove all personal food items from the community kitchen refrigerator. Any items left behind will be discarded.  
  • Remove all personal items from the community laundry room.  Any items left behind will be discarded.
  • Remove all trash and recycling from the room and dispose of it in the blue dumpsters and recycling bins located outside your building.
  • Close and lock all windows and leave window blinds open with the slats tilted upwards
  • Turn off all lights and fans
  • If you have a thermostat:
    • Make sure the fan is set to “Auto” and turn the temperature back to the unoccupied* set point (82 degrees in cooling mode or 55 degrees in heating).
      OR
    • Return the +/- 2-degree setting to “0.”
  • Suites/Apartments: Clean your suite/apartment bathroom and common space. Students may be charged excessive cleaning fees if the spaces are not left in a clean condition.
  • Lock your door behind you when you leave.  Leaving residential doors unlocked is a violation of the Residential Living & Learning policy.
  • Return all residential keys to Residential Living & Learning. 
    • During Business Hours (Monday - Friday 8:00 a.m. - 4:30 p.m.):  Visit the RL&L front desk at University Hall to complete the checkout process with one of our Office Assistants and return your residential keys.
    • Outside of Business Hours: Utilize the check-out dropbox located at the entrance to the RL&L office at University Hall. Complete a checkout envelope available in the box, place your keys in the envelope and place the envelope in the dropbox.
      • Chaudoin Hall residents will fill out the checkout envelope and place the envelope in the dropbox, as you have no keys to return.

It is important that you complete all of the above tasks before leaving your space. Residential Living and Learning staff will be conducting a final inspection of rooms to ensure these measures have been taken. Failure to complete the checklist items above may result in charges posted to your student account, and/or referral to the student conduct process. 

Students will receive information regarding exact move-out procedures from their Residence Life Coordinator when the time comes. The Guide to Residential Living has more information about the check-out process. Here are some of the general expectations:

  • Attend the closing community meeting
  • Coordinate cleaning of common spaces with roommate(s)
  • Utilize the large roll-off dumpsters for the disposal of all trash
  • Utilize donation bins for all appropriate items (if available)
  • Donate non-perishable food items to the Hatter Pantry at Griffith Hall
  • Walk through the space with their RA
  • Make sure your space is clean and free of trash and personal items
  • Visit Residential Living & Learning at University Hall to complete a check-out envelope and return your keys

Moving Out After Hours?

You may utilize the black DROPBOX outside of the front entrance of our office at University Hall, located at 644 N Woodland Blvd. Please fill out the envelope provided in the box in its entirety, place your key inside the envelope, and drop your envelope in the slot at the top of the drop box. Residential Living & Learning is open Monday through Friday, 8 a.m. - 4:30 p.m., so the box may be used anytime outside of those hours.
