As an important part of the Stetson University community, The Office of Student Goverance & Organizations strives to provide our Student Organization Advisors with the tools necessary to assist your student organizations as much as possible. Frequently Asked Questions

How do you reserve a room or venue?

All room reservations go through the room or venue request form that can be found on the Stetson University website. Dependening on which room you request, will determine who receives and approves your requests.

How do I reserve SWAT services?

SWAT services can only be reserved through the event registration form that is built into the Events Calendar, because SWAT needs at least two weeks to schedule the workers for each event happening during the upcoming weeks.

How do I receive cultural credit approval for my organizations' events?

Cultural credit requests can be submitted in either paper form through the Dean of the College of Arts & Scieces or through the Cultural Credit Request form on HatterSync. Cultural credit requests must have a proof of approval from the sponsoring faculty member attached to be approved. Cultural credit must be submitted to the Deam of the College of Arts & Sicences office at least 5 days prior to the event date.

Are there alternatives available to use when SWAT is not avaiable?

The Office of Student Governance & Organizations has two Alesis sound systems that can be checked out and used for events when SWAT is not available and/or when only background music or a microphone and speaker are needed. The systems are plug and play and do not require a wealth of technical know-how to operate.

Why was the movie showing my organization registered denied?

Movie showings held by organizations who do not own the copyrights or educational rights to the films they wish to show are only allowed to hold movie showings in one of the residence halls. Please have your students get in contact with one of the Residence Life Coordinators as soon as possible to make arrangements.

Why must event registrations be turned it at least two weeks in advance?

We have a two week prior policy as a way to make sure events are approved, SWAT can be schedules to work those events, troubleshooting can occur if necessary and to ensure the quality of the event.
