Fall 2013 Room Change Information
The room change process begins shortly after the academic year starts. It is important that we wait until the room change period so that we have as complete a picture as possible of what spaces are indeed vacant and can approach this process in a way that is consistent and accessible for all students.
We understand several factors may influence your desire to change rooms and that some may be more about getting away from something than getting to something. If you find yourself seeking to get away from your current room type, building or room mate, please reach out to your R.A. to see what advice and adjustments can be made to improve your situation prior to the room change period. You may find that a small change or conversation can make all the difference. Resolving issues in this way not only helps to build skills for the future, but the reality of our supply and demand is that we may not have the space you are looking for available.
There are three different types of room changes: direct swaps, vacancy pull-ins and general room changes. Direct swaps involve two students trading spaces and no vacancies are involved. Vacancy pull-ins involve a student with a vacancy in their room submitting a request for a specific person to fill the vacant space. General room changes occur when a student selects a space from a list of available vacancies. Please look below for more detailed information about the type of change you are seeking.
- August 23: Notification sent via email to students eligible to submit a vacancy pull-in request
- August 27: Deadline for submitting a vacancy pull-in request
- September 1: Deadline to complete an approved vacancy pull-in move and return keys
- September 3: Update sent to students in temporary spaces regarding reassignment
- September 3: Notification of spaces available on Room Change Night sent to students via email and posted online
- September 4: Room Change Night in Rinker Fieldhouse (located in the Hollis Center) at 9:30 p.m.
- September 9: Deadline to complete room change and return keys
Procedures for Room Changes
If you are looking to directly swap spaces with a friend (no vacancies are involved) then each of you needs to email email@example.com to confirm the desired swap. Once we have received both of those emails, instructions will be sent on how to complete the swap. It is very important that you wait for those instructions so that we can process the move correctly. Changing rooms without receiving approval from Housing and Residential Life (HRL) may result in referral to the Office of Community Standards.
If you have a vacancy in your room, you will receive an email from HRL on August 23 with instructions on how to submit a request for a specific room mate to fill the space. These requests must be submitted via email to firstname.lastname@example.org by August 27. In order to be able to move students in temporary spaces to permanent assignments and to have an accurate list of available spaces for Room Change Night, we are only able to accept pull-in requests from those students who have a vacancy as of August 23. Therefore we will not be able to accept requests for domino effect or chain moves that involve vacancies resulting from another vacancy pull-in.
General Room Change
Room Change Night will be Wednesday, September 4, 2013, at 9:30 p.m. in the Rinker Fieldhouse (located in the Hollis Center). You will have an opportunity to select from one of the available spaces on a first-come, first-served basis. We will send out a list of the available spaces in advance so you may effectively plan whether you want to attend.
Temporary Space Reassignment
If you are currently in a temporary space in a converted lounge, we will be reaching out to you on Tuesday, September 3 with an update on whether we are able to reassign you to a permanent space.
Clarion Hotel Residents
Once spaces are finalized on campus, we will connect with those of you who may be interested in moving to a traditional residence hall about the possibility of reassignment.
